The latest major version of Open Bee represents a significant advancement in Document Management System (DMS), featuring a completely redesigned user interface to enhance interaction with the software. This evolution positions Open Bee as a comprehensive solution offering a 360-degree view for every department in the enterprise, promoting a dematerialization of business processes more suited to all scales. With user-centric enhanced features, the platform simplifies collaboration, search, and access to information.

New features of DMS
Authentication: Improved customization
The authentication feature of the Open Bee DMS platform provides users with a user-friendly experience to access their document platform.
The new version introduces improved customization on the right side, allowing users to add text and colors in the title and description, all within the graphic universe of the company. This update also provides the option to integrate an image or a solid color background, defined by the first selected primary color, offering an even more flexible and aesthetically pleasing experience.
Dashboard: A new interface
The Open Bee DMS dashboard introduces a new interface, adding a modern and intuitive dimension to the user experience. This new layout provides centralized and personalized access through its five distinct sections:
- 1. The header
- 2. The top banner,
- 3. The collapsible menu,
- 4. Quick access points,
- 5. Widgets: The innovation of version 7.0!
This unique configuration provides an efficient way to quickly access various platform features, installed applications, the advanced search engine, as well as important alerts. Furthermore, it offers the flexibility to customize widgets and shortcuts according to each user’s specific needs. The collapsible menu and header remain visible across all screens of the solution, ensuring smooth navigation.
1. The header
The header, like the collapsible menu, is present on all screens of the Open Bee Portal. Among the new features, you will find:
- A directly accessible advanced search engine.
- Introduction of incidents: alerts regarding potential platform malfunctions.
- A help button that has been modified to include information about the software version, as well as access to user training and language configuration.
2. Topics
Customizable for each user, ‘topics’ allow direct access from the dashboard to actions to be performed on the platform. Clickable buttons redirecting to the relevant screen, it is possible to modify/delete them or add new ones directly from the “Configure” button. Up to 4 topics can appear on the dashboard from the following list: documents to classify, pending approval shares, folders to complete, reminders, tasks to be processed, followed tasks, and documents to link.
3. The collapsible menu
Available on all screens of the solution, the menu located on the left side of the screen includes the following tabs:
a. Company Logo: Customizable from the administration panel
b. Dashboard: Allows returning to the dashboard from any screen in the solution
c. All Documents: Provides access to the document journey
d. Search: Provides access to the search engine
e. My Topics: Tasks to be processed, followed tasks, documents waiting for classification
f. Applications: Allows finding all available and installed Portal add-on modules
Using the arrow at the top of the menu, the menu can be collapsed to optimize the display of the dashboard, as illustrated below:
4. Quick access points
Quick access, as the name suggests, allows users to directly add shortcuts to Portal features to their dashboard based on their permissions and daily needs. The quick access section can be collapsed using the arrow at the top right of the banner.
5. The Widgets
One of the major innovations of the dashboard: customizable widgets!
Widgets provide easy access to features or information stored in the platform. Each widget is configurable based on variables derived from the solution’s settings.

Migration and update
This version is available in both SAAS (cloud) and On-Premise (on-site) versions. Similar to subsequent versions of Open Bee Portal, updating the On-Premise versions is a paid service. This update is estimated to take only a few minutes.
- What are the next steps?
For Cloud subscription versions, the update is done automatically. No action is required on your part as a user. You will receive a notification via email.
For On-Premise licence versions, we encourage you to contact your reseller partner for more details regarding this deployment or for any additional information.
